Healthie Onboarding: PPN Step-by-Step Setup
Step 1 — Create Your Healthie Account
Log in to the 3X4 Genetics Healthie EHR using the same credentials you use for the 3X4 Practitioner Portal:
✅ Single Sign-On (SSO): 3X4 Genetics uses SSO across all portals. Your username and password are shared — a password change in one portal will automatically apply to all others.
Step 2 — Set Up Your Account Basics
Upon first login, you will be prompted to update your time zone. Complete the following before proceeding.
Navigate to: Settings (gear icon, upper-right corner) → Your Account
Confirm or update the following fields:

Click Update to save changes.
Navigate to: Settings → Notifications (left navigation bar)
Uncheck all notifications under the following categories:
- Client Activity
- Chat
- Appointment Requests (only "Client submits appointment request for anyone")
- Payments
- Insurance
Step 3 — Sync Your External Calendar
Healthie supports two types of calendar integration:

Navigate to: Settings (gear icon) → External Sync (left navigation bar)
Option A — Google Calendar (most common)
- Select Google Calendar and click Connect your Google Calendar.
- Sign in to your work Google account.
- Select the calendar you want Healthie to sync with, if prompted.
- Confirm that appointments appear and updates flow in both directions.
Option B — Outlook
- Select Outlook and click Connect your Outlook Calendar.
- Sign in to your Microsoft account.
- Confirm that Healthie appointments appear in Outlook and vice versa.
Option C — Apple Calendar / iCal
- Copy the ICS feed URL provided by Healthie.
- Subscribe to the feed in Apple Calendar (File → New Calendar Subscription).
- Note: This is a 1-way sync — Healthie events will appear in Apple Calendar, but Apple Calendar events will not appear in Healthie.
✅ Best practice: If you use Google or Outlook as your primary calendar, use the 2-way sync to prevent double-booking.
📝 Multiple sub-organizations (3X4 Health / GENEFIT Sport): Calendar sync must be configured separately within each sub-organization instance.
⏱ A setup confirmation call will be scheduled to verify that all systems are properly configured and connected.
Troubleshooting Sync Issues
- Ensure pop-ups are enabled in your browser during the authorization flow.
- Clear your browser cache and cookies, then retry.
- If the issue persists, send a screenshot or screen recording to ppn@3x4genetics.com (cc: marina@3x4genetics.com).
Step 4 — Set Your Availability
Healthie availability settings control when clients can book appointments with you.
Navigate to: Calendar icon (left navigation bar) → More (upper-right corner) → Set Weekly Availabilities
- Click + Add in the upper-right corner.
- Choose your availability type:
- One-time — for specific dates
- Recurring (weekly) — for ongoing availability
- Add time blocks for each day you want to be bookable.
- Save, then review your calendar view to confirm open booking slots appear correctly.
✅ After saving, open your calendar view to confirm that open booking slots display as expected.
Blocking Time Off
📝 Healthie does not sync multi-day blocks from external calendars. If you need to block multiple days, this must be done directly in Healthie.
Navigate to: Calendar → More (upper-right corner) → Block Off Availability
- Select the date range.
- Click Add Block.
📝 Multiple sub-organizations (3X4 Health / GENEFIT Sport): Availability must be configured separately within each sub-organization. To switch between sub-organizations, click (Switch) at the top center of the screen, next to your name.
